The File Explorer section is the primary section in the Drive app to access, manage, and share your files.
The Navigation pane shows:
- Repositories: the repositories you have have been granted access either as admin or user
- Folder navigation: under each repository, you can browse the folder structure of the repository
- Shared files: the individual files from other repositories that have been shared with you
The Main view shows in the first line the column headings, with the titles of each of the columns displayed in the folder and file list. Click on any column heading to sort your folders and files by that column.
After the headings, the Main view shows the folder and files list. You can check the view you are browsing by looking at either the Navigation pane or the address bar.
Synergy Drive allows files to store advanced file metadata, which is information related to a file. For example, date created, date modified and file size are examples of very basic file metadata. In standard Windows and Mac files, the information you can store as metadata is very limited. With Synergy Drive you have the ability to store additional metadata to better organize your files and to enable advanced uses cases such as tags, comments, versions, advanced search & filters, and citations.
The Details pane shows the file metadata across several tabs:
The Info tab shows the basic metadata for a file, including:
File name: you can modify the file name and even have the same file name for several files without file errors (in Windows and Mac filesw this is not possible)
File ID: this is the unique identification for your file. You can change the file name or move the file to different folders, but the File ID is always unique and never changes. This allows you easily find and identify files
Lock status: when someone has locked a file for editing, you can see here who is editing the file and the optional message they inlcuded when they locked the file
Folder tags: tags that the file has inherited from the folders containing the file
File tags: tags assigned to the file. You can manually insert and delete file tags
Comments: leave comments to give some context or quick information related to that file
The Details tab includes most of the metadata related to the file. This includes:
Basic metadata: file name, ID, size, path, date created, date modified, modified by.
Citation metadata: you can import Bibliographic metadata which is usually used in research and academia. You can import citation metadata in any standard citation format including BibLaTeX, BibTeX, Browser bookmarks, CSL JSON, CrossRef unixref, Evernote, ISI Web of Knowledge, MARC, MEDLINE (.nbib), MODS XML, OpenURL ContextObjects, OVID Tagged, PubMed XML, RIS, Refer/BibIX, RefWorks(R) Tagged Format, and RDF.
The Versions tabs shows all the versions of the file. Files can have the following types of versions:
When a user saves a file, the file is saved to Synergy Cloud as a Draft. For example, if the file was in "Version 1.00" when the file was opened for editing, and a user saves the file, the current version of the file would be "Version 1.00 Draft". Everytime a user saves a file, the draft version is overwritten, so there is only one Draft version at any time.
After saving a file, when the file has been uploaded to Synergy Cloud, the user will see a notification in Windows and Mac, saying that the file has been saved as a draft and offering to save it as a version. When the user clicks on the notification, the user will have the option to save the file as a minor version or a major version.
Minor versions are the versions which are saved after the major version number, and are indicated after the separation dot. If the file was in "Version 1.00" when the file was opened for editing, when the user saves the file as a minor version, the new file will be "Version 1.01". Minor versions are intended as small steps in the edition of files. In professional services firms, minor versions are often used as versions to be shared with internal team members for their comments and review. Every major version can have up to 99 minor versions (e.g. "Version 1.99").
Major versions represent the number before the sepparation dot, and represent completion of significant changes in a file. In professional services firms, major versions are often used to track the files that have been shared with clients or other external parties.
PDF files and saved websites (MHTML files) can have annotations. Annotations are text selections including highlights and comments in specific parts of a PDF or website.
Recents files shows you the latest 50 files that have viewed or edited.
Open files item shows the files from the repository that the user has currently opened in his computer.
Bookmarks shows all the files and folders that you have marked as bookmarks (star icon) in any repository.
The Bookmarks section is intended to provide a quick access to the files and folders that you access most frequently. To add a bookmark to a file or folder, simply click on the star button on the details pane.
